Part 1: When Should You Renew Your Status of Residence? Understanding the Basics and Rules

Renewing your status of residence is an essential procedure if you wish to continue living in Japan. However, due to a busy schedule or lack of preparation, some individuals find themselves rushing to apply just before their current status expires.

In this multi-part series, we’ll explain what to watch out for when submitting your renewal application at the last minute. In this first article, we’ll go over the basic rules and timeline for status renewal in Japan.

◆ When Can You Submit a Renewal Application?

You can apply to renew your status of residence starting from three months before the expiration date of your current status.

For example, if your status expires on August 1, 2025, you can submit your renewal application as early as May 1, 2025.

◆ Can You Apply on the Last Day?

Yes. As long as your application is received by immigration authorities on the last day of your permitted stay, it is legally considered valid.

In other words, if your application is submitted and accepted on your expiration date, you are still considered to be in Japan legally while the application is under review.

◆ What Is the “Special Stay” Period?

If your application is submitted and accepted before the expiration date, you are granted what is known as a “special stay” period of up to two months while your renewal is being processed.

This period is not an automatic extension, but rather a temporary allowance under Article 21 of the Immigration Control Act, during which you can remain in Japan legally. In most cases, you are also permitted to continue working under the same conditions.

Note: This period applies only if the application is properly accepted by the immigration office by the deadline.

◆ What Counts as the “Application Date”?

The date your application is considered received depends on how you submit it:

Online submission The date and time shown as “received” in the online system

When applying at the last minute, make sure you understand that the key date is when the immigration office receives and accepts the application, not when you personally send or prepare it.
