Japan Visa Renewal Timing: What the 45-Day Guidance Means

If your period of stay will expire soon, “before the expiration date” may no longer be the only date you should consider.

The Immigration Services Agency currently asks many applicants who want a renewal decision within their existing period of stay to make efforts to apply between three months and 45 days before expiration.

This guidance is intended to reduce practical problems that can arise when an application remains pending after the current period of stay expires.

The 45-day point is a recommended planning target for applicants seeking a decision before expiration. It is not a new universal filing deadline and does not guarantee that Immigration will decide the application before that date.

What does the current guidance say?

A person with a period of stay of six months or longer may generally submit a renewal application from approximately three months before expiration.

Under the current guidance, applicants who want the renewal to be decided within the existing period of stay are asked to make efforts to apply by 45 days before expiration.

For a change of status, the guidance instead asks applicants to apply promptly after the reason for the change arises.

Separate arrangements may apply to certain cases, including some students changing to a work status for an April employment start and some changes from Technical Intern Training to Specified Skilled Worker.

No processing guarantee: Immigration expressly states that a decision within the existing period of stay cannot be guaranteed, particularly where documents are incomplete or further examination is required.

Is 45 days before expiration a legal deadline?

No.

The ordinary application period still extends until the current period of stay expires. A person who is already within 45 days should not assume that the right to apply has disappeared.

At the same time, waiting until the final days can reduce the time available to identify missing documents, correct inconsistencies or respond to questions before expiration.

“I can still submit the application” and “there is enough time to prepare the application properly” are different questions.

Why can a pending application affect daily life?

A timely renewal application may allow the applicant to continue residing in Japan under the applicable special-period rules while the application is pending.

However, that does not automatically keep every connected card, certificate or private service operating without additional procedures.

My Number Card and combined-card functions

The Immigration Services Agency advises applicants who need to continue using a My Number Card—including a combined residence/My Number card—as identification or for electronic certificates to complete the relevant validity-extension procedure at their municipality before the printed expiration date.

If that procedure is not completed in time, some card functions may become unavailable.

Bank accounts

The official guidance also notes that a financial institution may restrict transactions after the expiration date if updated residence information has not been reported as required.

The applicant should therefore check the procedures of the municipality and financial institution rather than assuming that proof of a pending immigration application automatically updates every system.

What should be checked before the renewal window opens?

  • the exact expiration date shown on the residence card
  • whether the current activities still match the existing status
  • whether employment, school or family circumstances have changed
  • whether required notifications have already been submitted
  • which documents must be obtained from an employer, school or family member
  • whether tax, pension or health-insurance records may be required
  • whether foreign documents need Japanese translations
  • whether travel is planned near the filing or expiration date

Where tax, National Pension, National Health Insurance or resident-tax payments are relevant, keep payment receipts and records showing the payment date. Paying an amount later does not change the date on which it was paid.

A practical preparation timeline

About three months before expiration
Confirm the application category, review changes since the previous application and prepare the document list.

Between three months and 45 days before expiration
Obtain employer, school, tax and other time-sensitive documents and submit when the application is complete.

Within 45 days of expiration
Do not assume it is too late to apply. Confirm missing documents immediately, decide how they will be supplemented and check municipal or financial-institution procedures that may be required before expiration.

This timeline is a planning guide, not a separate legal rule. The appropriate filing date depends on the status, facts and documents available.

Should you apply early even if the case is not ready?

Filing early is useful only if the application accurately reflects the applicant’s current circumstances.

If employment duties, sponsorship, family circumstances or past compliance require clarification, the answer may be to prepare those points first and then file without unnecessary delay.

Avoid choosing between “apply immediately” and “wait” based only on the calendar. Consider both the remaining time and whether the facts and evidence are ready.

Final message

The 45-day guidance does not replace the legal expiration date. It provides a practical reason to begin preparing earlier.

Before deciding when to file, ask: “Do I have enough time not only to submit the application, but also to confirm the facts, obtain the evidence and manage the period before a decision?”
